WFM system in Odoo: how to automate personnel management

Building WFM based on Odoo ERP: scaling without architectural limitations

Odoo is a modular open-source ERP system, and this makes it a strong choice for WFM projects. Unlike rigid off-the-shelf solutions, Odoo allows you to build planning logic tailored to a specific business rather than forcing the business to fit a system template.

  • Planning logic, not a system template. Each network has its own rules: standards by department format, priorities in schedule conflicts, specific scenarios for HR events. In Odoo, these rules can be embedded directly into the system's logic rather than kept in the heads of managers or in informal instructions.

  • Access rights that correspond to the real hierarchy. Odoo provides flexible access rights configuration: the object manager sees their employees, the regional manager sees the summary for the region, and HR sees the complete picture of the network. This is critical at a scale of thousands of employees, where improperly distributed access creates both operational and security risks.

Case: WFM automation for the "Avrora" network - 1800+ stores, 10,000+ retail employees (out of 16,000+ total employees).

The company "Aurora" is one of the largest retail chains in Ukraine. Before implementation, it managed schedules and personnel accounting through its own custom system. It successfully supported operations during the establishment phase, but the rapid growth of the network required a transition to a more flexible architecture. To support the scale of the company, a solution with higher potential for quick adaptation of processes was needed.

The main challenge of the project was not to "fix" the process, but to accurately translate the already validated business logic of the company into the language of Odoo — without losing any nuances from the thousands of work rules accumulated over the years.

The result: the company received a transparent centralized system, full control over staff and work schedules, as well as an architecture ready for opening new stores without additional costs for rework.
