Why
Deal in CRM, carriers in the table, margin — at the end of the month
When transportation is your business, every deal goes through the rate, several carriers, documents, and payments. If this is scattered across different places, typical problems arise:
Everything relies on the manager
Rates, carriers, and vehicle statuses — in tables and messengers. If the manager is sick or leaves, the deal history goes with them.
One cargo — multiple carriers
The client's cargo is transported by several vehicles with different carriers, and it is difficult to summarize how much was earned on the deal.
Rate in euros, payments in hryvnias
The rate is agreed in currency, invoices and payments — in hryvnias at different exchange rates. The real margin is visible with a delay.
Invoice to the client is pending
The invoice is issued when the last vehicle arrives, and the money for already delivered trips comes later.

CRM for a logistics company: deal from request to confirmed rate
The CRM system for logistics in Odoo manages the deal from the client's transportation request: cargo, route, type of transport, dates. It goes through the funnel from a new request and rate calculation to confirmation, and the reasons for lost deals remain for analysis.
The rate for the client andcost estimationfor carriers are recorded before confirmation — so the margin is visible at the proposal stage. From the confirmed deal, the button"Generate Trips"creates trips: one or several, if the cargo is transported by multiple vehicles.
Trip
Transportation accounting in Odoo: vehicle, carrier, and route for each part of the cargo.
In standard Odoo, there is no object that combines the vehicle, driver, cargo, and route.Trip— a document with stages from loading to closure, linked to the client's deal.
- Multiple trips per deal.The master divides the cargo among vehicles and shows the loading of each; each trip has its own carrier and its own order to the carrier.
- Route with points.Loading, border, customs, unloading — with planned dates for each point.
- Checks.Warnings about overload and conflicts of the vehicle or driver with another trip.
Carriers
Carrier management: status, rating, drivers, and transport.
Carrier card — withstatus and rating, its tractors, trailers, and drivers, orders, and invoices. The carrier's status is taken into account everywhere it is selected.
An order to the carrier is created for each trip.замовлення перевізникуreferring to the flight and agreement, while the carrier's invoice and document scans are linked to the same flight. The own fleet is activated in the settings only if it exists in the company.
Workplace
Logistics workplace: what is in transit, what is at the border, what is unpaid

- Operational board.All active flights: carrier, stage, dates; flights with unpaid invoices to the client are highlighted.
- Gantt chart.Agreement → carrier → flight by days: who and when is transporting the cargo for each client.

Routes
Multimodal transport: road, sea, air, rail
Flights are visible onthe map: loading and delivery points, route, kilometers and hours on the road; the route opens in Google Maps with one click. The directory of cities and border crossing points is already filled out for Ukraine and neighboring countries.
- Road— engaged carrier or own fleet.
- Sea— vessel, voyage, bill of lading (B/L, SWB).
- Air— flight and air waybill (AWB).
- Rail— SMGS waybill.
One cargo can travel through several legs — by sea to the port, then by truck to the client's warehouse, — and all flights are linked to one agreement.

Accounting at the forwarder: transaction margin in currency at the NBU rate
Margin assessment— still at the bidding stage,fact— from the client's invoice and the invoices of carriers for all flights of the transaction. Deviations of the fact from the assessment are visible.
- Currency and NBU rate.Rates and prices of carriers — in euros or dollars, next to — amounts in hryvnias at the NBU rate on the date.
- Invoice for delivered flights.The invoice to the client is issued for flights that have already arrived, without waiting for the last vehicle.

What is needed
- Odoo 19 Enterprise.The solution uses Enterprise applications: approvals, documents, Gantt chart, and automatic currency updates.
- Odoo.sh or your own server.Third-party modules cannot be installed on Odoo Online.
- Odoo applications:"CRM", "Sales", "Purchasing", and "Invoices" are the foundation of the solution.
- The cargo does not pass through your warehouse.Transportation is sold as a service, and there is no inventory accounting for it.
Limits
- Not internal logistics.If you transport your own goods between warehouses and group companies, you need internal logistics.
- Not a freight exchange.Finding carriers on exchanges is the responsibility of the logistics manager; the chosen carrier and their rate are entered into the system.
- Not customs clearance.Customs documents are attached to the shipment, but declarations are generated in your customs services.
- GPS monitoring— in progress: we are actively working on the integration.
Yes, this is how freight forwarders operate: each shipment is carried out by an engaged carrier with their own order and invoice. The own fleet is activated in the settings only if the company has vehicles.
For a freight forwarder selling transportation, Odoo TMS covers all transportation accounting: deals, flights, carriers, documents, invoices, and margins live in one system with accounting, without two databases and exchanges between them. A separate TMS is needed if deep route optimization or freight exchanges are important to you: then it can be connected to Odoo via an open API.
Yes. The rate for the client and the price for the carrier are fixed in euros or dollars, and the system shows the amounts in hryvnias at the NBU exchange rate on the date specified in the document. The margin of the deal is calculated in the currency of the deal.
Yes, Odoo is suitable for accounting freight transportation, particularly international ones. The route of the flight includes a border crossing point, and the CMR, B/L, AWB, and SMGS documents are stored with the flight. The transportation can consist of several legs using different modes of transport, all linked to a single agreement.
The margin is calculated on the deal: revenue comes from the client's invoice, expenses come from the invoices of the carriers for all flights of the deal. The estimate is visible at the bidding stage, and the actual amount is updated as invoices come in.
We are currently actively working on connecting GPS services (Wialon, Traccar). We configure the exchange of orders with the client's or parent company's system through the open Odoo API for a specific system.
