Automation of accounting for the public organization "Ukraine"

Автоматизація грантового та бухгалтерського обліку ГО Українер в Odoo

About the client

The NGO "Ukrainer" is a non-profit media organization that creates multimedia content about the regions and cultural heritage of Ukraine. Its activities are funded by international and Ukrainian donors, and it simultaneously manages several dozen projects with specific reporting requirements.

Implemented solution

  • Grant accounting: automation of the formation of entries for targeted funding (account 48) instead of manual entry.

  • Project analytics: comprehensive accounting of income and expenses, as well as automatic distribution of employee salaries among several grants.

  • Asset and content accounting: management of over 200 units of fixed assets, intangible assets, and accounting of proprietary media materials (video, photo, website) as intangible assets with depreciation.

  • Financial integrations: setup of currency operations, NBU rates, and integration with PrivatBank for automatic receipt of statements.

Implementation results

  • Transparency to donors: project reporting is generated automatically from the system, rather than compiled manually in Excel.

  • Time savings: eliminated routine manual entries and errors thanks to a unified accounting system instead of a combination of 1C + Excel.

  • Effective asset management: a complete cycle of accounting for fixed assets, small and medium-sized enterprises, and intangible assets with accurate depreciation calculations.

  • Scalability: the readiness of the infrastructure (Odoo 17 with Oblik ERP localization) for the growth of grant projects and donors.

Conclusion

The transition of the NGO "Ukrainer" from 1C to Odoo 17 has become an example of successful digital transformation for the nonprofit sector. We managed not only to replace outdated software but also to adapt the standard ERP system to the specifics of grant financing and media production.

Thanks to the automation of targeted funding (account 48), the distribution of salaries among projects, and the accounting of creative content as intangible assets, the organization has eliminated manual labor in Excel. Now the team has a transparent, fast, and reliable tool for reporting to international and Ukrainian donors, which is critically important for the reputation and further funding of the media organization.
